Public Forms

Public forms are online forms that allow organizations to collect responses from anyone around the web. Public forms can be used to create surveys, post questionnaires and polls, or gather feedback from clients, vendors, and external users.
 
Each public form has a unique public URL which can be shared with anyone who can fill out and submit responses to the form. The form responses will be collected as cards in your board which can later be processed from Qntrl.

How to create Public Forms   

  1. Navigate to  Boards hover over a specific board and click 

  2. Select   Public Forms  from  the pop-up and click New Public Form. (or)
  3. Navigate to    , and select Public Forms  under Customization.
  4. Click the New Public Form button, select the board for which you want to create the public form, and click Proceed.
  5. To add the board's fields to the public form, click the Choose Fields button and select the fields to be added. Ensure that the Title field is selected here.
    1. Click on the Select all fields  hyperlink to add all fields of the board to the form.
    2. Click Clear selection  to deselect all the selected fields to remove them from the public form.
  6. To improve security in your public form, you can add a standard Captcha by clicking the Add Captcha button on the right.The captcha is automatically generated by Qntrl.
  7. As the public form responses are created as cards, you could choose a user who will be assigned as the card requestor for the public form, since the form recipients are external users. To do so, select a user from the dropdown under Select Requestor.
  8. You can direct the recipients of the form to the next step after they submit the form under Acknowledgement & Redirects.
    1. Plain text - You can choose to show them a thank you message or add a suitable text you would like the recipient to see, as soon as they have submitted the form.                   
    1. Redirect URL - You can choose the form to be redirected to your company website or add a suitable URL that you would like the recipient to see, as soon as they have submitted the form.
  9. Once you have configured all the above details for the form, you can choose to view how it will look to the end-user by clicking on the Preview button at the bottom of the screen.
    1. Enter a response to the form and test field data, field limits, permissions, acknowledgements, and re-directions. 
    2. Responses submitted in preview mode will not be saved as cards.
    3. Click Close Preview to return to the public form screen.
  10. Click Publish and confirm your action when the public form is ready to be shared with the recipients.
  11. You can copy the URL of the public form under Public URL .
Responses submitted by the recipients are created as cards in Qntrl.
 

To update the form name or add a suitable description, mouse hover the form title and click .

Other actions in Public Forms 

How to change layout

To change the layout of the public form, click  in the public form. There are different types of layouts you can choose from.
  1. Single Column - The fields of the public form will be displayed in one column.
  2. Double Column - The fields of the public form will be displayed in two different columns.
  3. Parallel Label - The field label will be displayed above the text box in the public form.
  4. Top Label - The field label will be displayed next to the text box in the public form.


To change the logo of the organization,
  1. Hover over Qntrl's logo in the form and click the Change logo hyperlink.
  2. Click Select File to upload the logo. 


The logo file  must be within 2 MB and can have the image format as JPG, PNG, or JPEG.

How to change background

To change the background of the public form:
  1. Click .
  2. Under Change Background, select a background suitable for the public form.


How to change CTA buttons

The Call To Action (CTA) buttons at the end of each form can be customized to reflect the form.
  1. Click    next to the existing CTA buttons.
  2. Edit the Primary Action and Secondary Action labels. 
  3. You can also choose to change the button color. 
  4. Once the changes are done, Publish the form. 


Customize Field Properties in Public Forms 

You can customize the properties of fields in the public form. The modifications made in public forms are not reflected in the board's forms and vice versa. 


  1. If you want some fields to be filled by the recipients mandatorily, you can check the Mandatory option to ensure that the field is filled before the public form is submitted.
  2. Configure and set the field constraints based on the field type by clicking on the  icon.
  3. To remove a field from the public form, you can click on the .

Deactivate Public Form 

When a public form is deactivated, it will no longer be available for recipients to fill data. However, cards created using this public form will remain active. 
  1. Navigate to  Boards hover over a specific board and click   , and select   Public Forms  from  the pop-up. (or)
  2. Navigate to , and select Public Forms under Customization .
  3. Toggle the button at the right end to deactivate the public form.
  4. In the ensuing pop-up, enter the deactivation message and click Yes, deactivate.
  5. To activate a public form, you can toggle the button again.



Delete Public Form 

When a public form is deleted, the url will no longer be available for recipients to fill data. Also, the cards created using this public form will not be deleted and still remain active.
  1. Navigate to  Boards,   hover over a specific board and click   , and select   Public Forms  from  the pop-up. (or)
  2. Navigate to , and select Public Forms under Customization .
  3. Hover over the public form you want to delete, and click on . Click Delete.
The public form will then be deleted.
