Create Requests

Requests are similar to cards, but are raised by users outside the board, or even outside the organization. Users who create requests in Qntrl are called Requesters.
 
For example, the Finance team of the organization takes care of crediting salary to employees in the organization, provide loans to the employees in need, and provide other financial support to the employees. In such cases, if an employee needs a loan, the respective employee can raise a request in the Finance team's board using the Requests option.
 
Users can create requests in the board only if the admin of the board has enabled the permission to create requests.
 
To allow requesters to create requests:
  1. Navigate to  Boards and choose a board.
  2. Click  next to the board name and select Manage Requesters
  3. Click Configure beside Allow external users to create requests

Requesters can raise requests in Qntrl using the below options:
  1. Organization Users
  2. Public Forms
  3. Email In

Organization users can raise requests in the board using the Organization Users option.

Organization Users  

Users who are not a part of the board but are a part of the organization can create cards. You can allow any board user to add cards or allow only specific users to create cards.

Allow Organization Users to create requests

  1. Navigate to   Boards  and choose a board.
  2. Click   next to the board name and select  Manage Requesters
  3. Click Configure beside Allow external users to create request .
  4. To publish Organization Users , click Publish Service .
    You'll be prompted to choose All organization users or Specific organization users. If you choose Specific organization users, select the specific users from the drop-down.


How can Organization Users create requests in Board      

  1. Navigate to the My Requests module.
  2. Click New Request.
  3. Select the service for which you want to create a new request.
  4. Fill in the required fields in the form.
  5. Click Save

Unpublish the Organization Users service

  1. Navigate to   Boards  and choose a board.
  2. Click   next to the board name and select  Manage Requesters
  3. Click Edit beside Allow external users to create request .
  4. Click Unpublish Service beside Organization users to stop organization users from creating requests.

External users who are not a part of the organization can create requests in Qntrl using Public Forms or Email In.

Public Forms

This form will have a set of fields that  the admin has configured. The form can be filled by anyone from the public who has the public form link. Learn more about Public Forms from this help document .

Enable external requesters to create requests via Public Form 

  1. Navigate to Boards  in the left panel.
  2. Choose the respective board.
  3. Click  Invite  on  the top  band  , or  click the    icon beside the users thumbnail icon .
  4. Switch to the Requester tab.
  5. Click Configure beside Allow external users to create request .
  6. Click Publish Public Form .


Email In

This lets users create requests in the board when this Email In service is published and when the public users sends an email to the Email In ID. Find out more about Email In from this help document .

Enable external requesters to create requests via Email In  

  1. Navigate to Boards  in the left panel.
  2. Choose the respective board.
  3. Click  Invite  on  the top  band  , or  click the    icon beside the users thumbnail icon .
  4. Switch to the Requester tab.
  5. Click Configure beside Allow external users to create request .
  6. Click Publish Email In


Raise requests through Public Form or Email In 

Users who have the Public Form link or Email In ID can raise requests to the boards. Learn more about Public Form and Email In from these help documents.

Disable Email In or Public Forms 

Unpublishing of Public Forms and Email In can be done from the quick access page. Please refer to the Public Form and Email In help documents to know more.
