Businesses use various applications to run and track their daily activities. Connecting all these applications together is crucial to power real-time collaboration between them and maintain data consistency.
PowerActions help businesses connect third-party applications they use with Qntrl, authorized by a secure connection. With PowerActions, you can configure actions to be performed in the third-party application, and also share field details from Qntrl to the application, promoting data integrity.
Creating a PowerAction involves 2 simple steps:
- Configure the action to be performed in the application from a business rule or a blueprint's after transition section.
- Create a connection to authorize the application’s usage in Qntrl.
The PowerAction gets triggered when the Business Rule or Transition is executed, and the action gets performed in the application via the authorized connection.

Business Scenario
Zylker Mart, a retail chain, uses Qntrl for their central procurement management system while all the local outlets manage their stock using a third-party inventory management application. Each new procurement is tracked and updated in Qntrl, however, the third-party application requires frequent updates to stay on-top of the procurement status available in Qntrl. To achieve uniform data across all applications, PowerActions can be of help.
PowerActions connects both these applications (Qntrl and third-party app) and allows the third-party application to fetch the latest procurement data from Qntrl. To configure this PowerAction, we can create a trigger (from Business Rules or Blueprints) to execute actions in the third-party application. This brings in convenience to maintain data integrity and allow applications to work together.
How to invoke PowerActions
- Navigate to
and select Integrations under Extensions. - Click Invoke next to PowerActions.
Only the Organization Owner can invoke this integration the first time. However, after the initial invocation, the integration can be enabled by any user.
Create PowerAction from Business Rules
- Navigate to
and select Business Rules under Automation. - Create a new business rule or edit an existing one. Learn how to create new business rules.
- Enter the rule details— associate a board, enter a name and description, and choose when to execute the rule.

- Click Next.
- Under Criteria and Actions, set a criteria, and click the + button next to Instant Actions or Schedule Actions.
- Select PowerActions in the dropdown. Note that this option is listed here only after the integration is invoked.
- Select the application you’d like to connect with Qntrl using PowerActions. The actions you can perform in this application via Qntrl are listed in the right panel.
- Click Next.
- Choose an action to configure. Click Next.
- Enter the PowerAction name.

- Select an existing connection or create a new connection, and click Next.
- Configure the details required for the application to trigger the action. You can select placeholders from the right panel. All fields of the board except line items and notes are displayed here.

Click Done.

Save the business rule.
Similarly, you can associate up to 3 PowerActions in each Business Rule.
Execute PowerAction from Business Rules
In the sample screenshots, we’ve configured a PowerAction to connect Zoho Writer to Qntrl using Business Rules. To execute the PowerAction, the business rule must be triggered. Since 'Creating a card' is selected as the execution condition, create a new card in the associated board. This executes the PowerAction, creating a new document in Zoho Writer with the field values populated from Qntrl.
Similarly, you can configure PowerActions in Business Rules to connect different applications with Qntrl and perform actions in them.
Create PowerAction from After Transition in Blueprints
- Navigate to
and select Boards under Automation. - Select an existing board or create a new board. Learn how to create boards.
- Move to Step 2: Design Blueprint and select a transition.
- Navigate to the After section and select PowerActions. Note that this option is listed here only after the integration is invoked.

- Select the application you’d like to connect with Qntrl. The actions that can be performed in this application via Qntrl are listed in the right panel.

- Click Next.
- Choose an action to configure. Click Next.
- Enter the PowerAction name.
- Select an existing connection or create a new connection, and click Next.

- Configure the details required by the application to trigger the action. You can select placeholders from the right panel. All fields of the board except line items and notes are displayed here.

- Click Done.
- Save the blueprint.
- Publish the board.
Similarly, you can associate up to 3 PowerActions in each After section of Blueprint.
Execute PowerAction from After Transition in Blueprints
In the sample screenshots, we’ve configured a PowerAction to connect Zoho Calendar to Qntrl using After Transitions. To execute the PowerAction, the corresponding transition must be executed. Go to cards in the associated board and perform this transition in an existing or new card. This executes the PowerAction, creating a new event in Zoho Calendar with the field values populated from Qntrl.
Similarly, you can configure PowerActions in Blueprints to connect different applications with Qntrl and perform actions in them.
Associate existing actions
Existing PowerActions can be associated with Business Rules and Blueprints.
- Navigate to PowerActions in a Business Rule or Blueprint.
- Switch to Existing Action tab.
- Click on the existing action name to associate.
- Edit the values if necessary and click Done.
You can associate up to 3 PowerActions in each Business Rule or Blueprint.
View PowerActions and Connections
To view all the PowerActions and Connections configured in your organization:
- Navigate to
and select Integrations. - Select PowerActions.
- The PowerActions tab lists all the actions configured.
- The Connections tab lists all the connections associated with the PowerActions.
Track Usage in PowerActions
Each organization in Qntrl is provided with a 100-point credit each month. Every time a PowerAction is executed, a 1-point credit is deducted. If the entire credit gets exhausted, PowerActions will fail to execute.

Track execution of PowerActions
Every time a PowerAction is executed, it is captured in the card's Activity section along with a time stamp.
Audit Logs also keeps track of the execution of each action and connection in PowerActions.
Edit PowerActions
PowerActions can be edited only by the user who creates them. No other user will be able to edit it.
- Navigate to
and select Integrations. - Select PowerActions.
- Select an action name to edit.
- Click Edit Action Fields at the top-right corner of the popup.
- Make necessary changes to the action.
- Click Done.
- Save the changes.
Create Connections in PowerActions
To create connections for PowerActions:
- Navigate to PowerActions.
- Select the Connections tab.
- Click New Connection.
- Select the application and click Next.
- Enter a connection name, select an action, and click Next.
- Authorize the connection.
- Upon successful authentication, the connection is created and listed.
Delete Connection in PowerActions
Connections actively associated with business rules or blueprints cannot be deleted. To delete inactive connections:
- Navigate to PowerActions.
- Select the Connections tab.
- Hover over a connection name and click more options.
- Select Delete Connection.
- Confirm your action.
